1. Definitions
1.1 The "CLIENT" refers to the person(s), organization, or company booking services and/or equipment with Picnics & Pillows LLC.
1.2 The "COMPANY" refers to Picnics & Pillows LLC.
1.3 "EQUIPMENT" refers to all items, including but not limited to teepees, mattresses, bedding, themed decor, picnic tables, and any associated props, provided as part of the service.
2. Bookings, Deposits & payments
2.1 Rental periods will be discussed at the time of booking. Typically, we allow for a 24-hour use of equipment from time of setup to time of pickup.
2.2 All items provided by the Company remain the property of Picnics & Pillows LLC unless otherwise agreed upon in writing.
2.3 Bookings are only secured once the deposit has been paid.
2.4 A non-refundable deposit of 50% of the total service cost is required to secure a booking.
2.5 The remaining balance is due no later than fourteen (14) days before the scheduled event date.
2.6 Payments can be made via credit card, Venmo, or other accepted methods communicated at booking.
3. Cancellations & Refunds
3.1 Cancellations are subject to the following fees:
3.2 Clients have the option to reschedule their event without any implication on fees, provided the rescheduled date is available on the Company’s calendar and is booked within 3 months of the original booking date.
4. Setup, Location & Client Responsibilities
4.1 Sleepover setups must be indoors. No exceptions will be made.
4.2 Outdoor picnic setups are permitted, provided weather conditions are suitable. The client is responsible for bringing all equipment indoors overnight if pickup is scheduled for the following day.
4.3 The client must ensure that the equipment will fit in the designated area. If the items do not fit, the client will still be charged the full amount.
4.4 The setup area must be ready before the company’s arrival. All necessary furniture must be moved in advance, and the space must be clean and clear. In the case of an outdoor picnic setup, the client must ensure the outdoor space is in an area that is clean, free of rubble and animal feces, and that water irrigation systems are turned off.
4.5 The company reserves the right to refuse setup if the site is deemed unsuitable. In such cases, no refund will be given, and the full service fee remains due.
4.6 Rentals must be set up in smoke-free environments. If cigarette smoke is detected, the company reserves the right to forfeit the booking without a refund.
4.7 Equipment will be picked up at a pre-arranged time following the event. The client must ensure all items are present at the time of pickup.
4.8 Missing items at the time of pickup will be considered lost, and replacement fees will apply.
4.9 A $50 late fee will apply if the client is not present at the agreed-upon time for setup or breakdown.
5. Liability & Insurance
6.1 The client assumes full responsibility for the supervision and care of the service equipment during the service period.
6.2 The company is not liable for any personal injury, loss, or damage arising from the use of the service equipment..
6.3. Once setup is complete the client may not move any of the items, and must protect the items from any damage on behalf of the guests.
6.4 No face paints, makeup, nail polish, gum, pets, smoking, or sharp objects are allowed near the equipment.
6.5 No climbing or hanging allowed on any of the items.
6.6 The client is responsible for any lost, damaged, or excessively dirty items and will be invoiced for the cost of repair or replacement. In such cases, the deposit will be kept and the client will be invoiced for any costs that exceed the deposit amount
By booking with Picnics & Pillows LLC, the CLIENT agrees to abide by these service terms and conditions.
